
TERMS AND CONDITIONS AGREEMENT
DEFINITIONS
"The Operator"- refers to company known as Visions Concierge
"The Event"- refers to the wedding and/or reception or other event
"The Client"- refers to the person paying all invoiced costs and/or person(s) signing the contract
The purpose of this page is to explain the basic terms & conditions upon which Visions Concierge
operates. You will receive a full terms and conditions upon receiving your written contract.
A $500 non-refundable fee is required to confirm a date & time for our services. No date is secured
without this fee. We accept Visa or master card.
If your credit card is declined, your booking will be held for 24 hours only. We will make every
reasonable attempt to notify you provide you have given us a valid and working telephone number and
email address. It is advised that you check your account to be sure your fee has cleared.
- Once a package has been chosen and all other options have been outlined you will receive an initial
contract. At this time 20% of the total cost less the $200 retainer fee is due and must be received
within 14 days of receiving the initial contract for Visions to book any services and venues your on
behalf.
- This 20% deposit will also confirm the acceptance of all terms & conditions.
- The remaining amount is due 30 days prior to the event. We will break this down for you in two
payments you may choose to pay in full or make payments by the due date indicated on your
contract.
- Our first quote is free of charge. Subsequent changes or quotes will be charged at an hourly
consultation rate of $40.00 per hour with a minimum of 1 hour.
- Please note that all prices refer to the event(s) as described in the contract. Should any aspect of
the event and/or dates and/or numbers and/or locations alter, Visions Concierge reserves the right
to re-quote the entire event.
- This quotation is valid for 30 days: if it has not been accepted by this time, Visions Concierge &
Events reserves the right to re-quote. Prices are subject to change without notice until the contract
is signed and returned.
- Final numbers must be relayed to Visions no later than 30 days prior to the event, otherwise the
original guest count stated at your planning session will be used for catering totals. FYI - Money's
pre-paid for the guest count are non-refundable for no show guests so be sure to call with your
RSVP total. (Meaning... If a guest stated they were attending and do not attend, you do not
receive a refund just because they did not make it to your event. We have no control over that.)
- Should cancellation of the event occur for whatever reason, the following cancellation fees will
apply:
If canceled within 3 days of signing initial contract or more than 180 days before the first event(whichever is later): 20%
If canceled 180-91 days before the first scheduled event: 50%
If canceled 90-61 days before the first scheduled event: 70%
If canceled 60 days or less before the first scheduled event: 100%
- Please note that anytime after the quotation has been accepted – $500 or 20% whichever is
greater of the total amount is non-refundable.
INVOICING
The client is invoiced by the operator for services and products relating to the event, If invoices are
not paid within the payment terms stated on the invoice, this will cause delay in the planning and
reservations for services for your event. All events must be paid in full 30 days prior to the event date.
FINANCE
The operator is not a financial institution nor can we or any of our employee's offer arrangements for
you. We do however offer a lay-away program if necessary, we do not extend credit or offer loans.
We are able to offer you information that has been provided to us by a financial institution that offer
loans for weddings, honeymoons and other wedding needs. We will be happy to send you a brochure
that has been provided to us by this financial institution.
RETURNED CHECK FEES: $50 fee is charged for a returned check.
TIME CONSTRAINTS:
If your ceremony is delayed by 30 minutes or more for any reason on your part, an overtime fee of
$50.00 for each staff is assessed. Please consider weather and traffic conditions and give ample time to
be punctual.
WEDDING MINISTER:
We warrant that all wedding ceremonies are performed by officiants, whether under the title of
Minister, Reverend or otherwise, who are ordained by the church as the NC State Law requires.
LIABILITY:
In no event shall Visions Concierge, their agents or officials be liable for damages of any kind for acts by
their employees or agents taken in good faith. In no event shall publishers, or any parties supplying
information through this site, be liable for damages or injury of any kind, except as may be provided by
law.
AS IS:
Everything posted on this website is provided "AS IS" and we reserve all rights to all of it without
warranties of any kind.
COST:
All materials, information, descriptions, products, service and prices shown on this site are subject to
change without notice prior to signing of your contract.
SECURING YOUR DATE:
All wedding package are secured with a minimum $500.00 non-refundable retainer fee. No date is
secured without submitting this fee. Weddings or events which are reserved less than 3 weeks prior to
the event date will need to be paid in full at the time of booking. Your retainer fee will be applied
toward your total package amount. Your retainer fee will be retained upon cancellation of your event.
You may however move your date rather than cancel in order to not loose your investment.
All deposits are non refundable.
If you have booked your wedding only with Visions, we are responsible for the wedding details only.
If you have booked both your wedding and reception through Visions using our Vendors, we are happy
to manage both events. For example, if you did not purchase your cake with Visions we are not
responsible for cake cutting services. If your reception is not being held at Visions, we are not required
to stay through the entire event unless you have retained us for reception management services.
If your catering services was not retained with Visions, we are not required to manage or assist with
serving, time line for reception or decor. This is the responsibility of the vendor you purchased the
services through. You may however retain our services for your event for an
additional fee and one of our professional event managers will be assigned to manage your event.
We shall have no responsibility for any travel related difficulties that you may encounter,
which are out of our control such as airline delays, traffic delays, etc.
Visions Concierge will not sell, trade or give your personal informaion to anyone other than the sub-
contacted vendors, such as the photographer who will need to contact you. Visions Concierge will not
discuss the details of your event with anyone other than the persons name listed on your contract
unless you have given us permission to do so. Visions Concierge will supply you with a quote
containing a description of products and services and details of your event we do this in good faith &
strict confidence. This information therefore, will remain the sole intellectual property of Visions
Concierge & Events, by signing the contract you receive you are also agreeing to our confidentiality
clause and are not authorized share your contract information with others including people you may
recommend us to and other businesses of this nature.

What do you do next?
Contact Us...
After we receive your retainer fee, you will be contacted by our Event Manager (if you did not speak
with her at the time of your reservation session).
After initial details are discussed you will receive a personal planning checklist. This will allow both of us
to begin working on your event. You may start choosing selections and preferences if you have not
done so and we may start ironing out the details
Wedding planning details can be by telephone and e-mail if your schedule does not permit a personal
visit. We schedule visits by appointment only. Failure to respond or reply to telephone calls or email's in a
timely manner will result in forfeiture of your date. Please note that prices listed anywhere on this site
are subject to change and are based on vendor availability.
Also be advised all packages are subject to a 20% additional planner/coordnator fee for all on-site events
and an additional director fee for off-site events.
